How to send us a copy of your QuickBooks file

1 - Open your company's QuickBooks file.

2 - In the upper left of your screen, click on FILE

3 - Then click on....
           CREATE COPY  <---Example - If you are using QB 2012 or QB 2011
                    or           
           SAVE COPY OR BACKUP  <--Example - If you are using QB 2010, QB 2009, or QB 2008

     (You will see 3 file types to choose from.)
     (Choose accountant's copy unless we asked for a "backup" or "portable" copy.)
            Backup
            Portable
            Accountant's Copy  <--choose this and then confirm on next screen.

4 - Enter a dividing date 
If file is for your tax return, date should be after 12/31 such as 01/31.
If the file is for a tax estimate, use a recent date. That allows us to make current year corrections for you.
                        ^---no dividing date is entered if you are sending a "backup" or "portable" copy.

5 - Save the file to your desktop.
                        ^---You can continue using the file on your end if you send us an "accountant's copy."

                        ^---Remember, do not add, change, or delete anything if you are sending us a portable
                                  or backup copy.  In other words, you cannot use the file on your end.

6 - Click here to send the file to us.

What type of file should you send to us?

Usually an accountant's copy is best. 

An accountant's copy allows BOTH us to work on your file at the same time.  You work on one side of the "dividing date" and we work on the other side of it.  When we are done, we will send you a small file of changes that you import into your file.  No restoring is necessary.

However, there are certain tasks that require you send us a portable or backup copy.  We will let you know when we need such a copy. 

When we do need a portable or backup copy, you should not add, change, or delete anything on your end.  The reason is that the file we send back to you will REPLACE the file on your computer.

This will require you restore the file we send back to you.

Should we need a portable or backup, it is important that we coordinate a mutually convenient time with you when you will not be needing your file for a few days.

If we ask for a portable or backup copy, the procedures to send us the file are very similar to above. 

Restoring the file is a bit more complicated and will probably require a remote session.
